Doing a food-safety check

For staff. The temperature checks and opening/closing lists — on the tablet, or on your own phone.

  1. Open Checks

    On the tablet, tap your name and enter your PIN — the same one you clock in with. On your own phone, open Food safety checks from your dashboard and you go straight in. Either way the check is recorded against your name, which is the whole point of it.

  2. See what's due

    The board says 3 of 7 done today and lists what's outstanding. Anything needing a recheck sits at the top in red. A check you've already done stays on the list with a tick rather than vanishing, so you can see you did it.

  3. Enter what you actually found

    Real readings. A fridge that's too warm is a thing you can fix at 7am; a made-up number is a thing that goes wrong at 7pm. A unit that's out of service shows as such and asks for nothing — don't invent a reading for it.

  4. Add a photo if it asks

    Some checks want one. Take it there and then.

  5. Say what you did about anything out of range

    If a reading is outside its limits the card turns red and asks what action you took. Write what you actually did — moved the stock, called the engineer, threw it out. That note is the record, and it's the part an inspector reads.

  6. Press Submit

    If something's missing it won't send — instead you'll see Still needed: above the button, naming exactly what's outstanding. Tap any item to jump to it. The list shrinks as you fill things in, and the same tap then sends it.

When it doesn't go to plan

  • Submit doesn't seem to do anything. Look just above the button. It never greys out — it tells you what's still missing instead, by name.
  • It threw you back to the name list, or said your session expired. Your tablet sign-in lasts ten minutes. Anything you'd typed is still on screen — put your PIN back in and send it.
  • The reading is out of range and you don't know what to do. Tell the manager on duty before you record an action. Recording the problem is right; inventing the fix isn't.
  • You want to check something you already sent. Logged today at the bottom of the board shows everything filed at your venue today — tap any of it to read it back. You can't change a sent check; if it's wrong, tell your manager and they'll record a correction.
  • The tablet is dead. Use paper and tell your manager. The checks still have to happen — that's the law, not the software.
